ASSOCIATION MEETING - December 13, 2001
CALL TO ORDER
The meeting was called to order on December 13, 2001 at 7:00 p.m.
Board members in attendance were Andrew Kemppainen, Brian Carroll and Roger Beyer.
Management was represented by Adam Buckley.
MEETING MINUTES
The meeting minutes were reviewed by the Board. A motion was made by Brian Carroll, seconded by Andrew Kemppainen and unanimously approved to accept the meeting minutes as presented.
MANAGER'S REPORT
Financials - A motion was made to freeze spending for the rest of the current year. It was unanimously approved.
Insurance - The Board had requested Adam Buckley to see if the Board needed separate insurance coverage of Directors and Officers. Mr. Buckley reported that they do not need separate D&O coverage. This coverage is for all the Board and there is $2,000,000.00 in D&O coverage, which Adam Buckley reported should be enough for any Association.
OLD BUSINESS
Chestnut Oaks reviewed the Management contract by Alpha Home Services. Their quote is $6,000.00, which is $3,000.00 less than Towne Properties. The Board has reviewed the proposal from Alpha Home Services and will make a decision within the next couple of months to determine whether they will change to Alpha Home Services. Adam Buckley reported that Towne Properties has reduced their fees to $9,000.00 per year for Full Service Management.
Regarding the 2002 budget, Brian Carroll made a motion to keep the fees at $150.00 a year. It was seconded by Andrew Kemppainen. Roger Beyer voted against. Motion carried. Management will send out coupons before the end of the year for $100.00. The second coupon mailing for $50.00 will be sent out in July of 2002.
Andrew Kemppainen was named to be the Chairperson regarding the fence issue. Mr. Kemppainen will look at ways to fund the fence issue and report back to the Board at quarterly meetings.
The Board reported that a resident is having a problem with the grass seeding in his back yard. Andrew Kemppainen reported that the resident is starting to make improvements by split seeding his grass. The issue will be looked at in the spring. Hopefully the grass will have time to grow back into place.
NEW BUSINESS
The Board reviewed the contract from B&B Lawn Care for 2002. Adam Buckley spoke with B&B and they are trying to make adjustments for the 2002 contract to limit some services, but also maintain the beautification at Chestnut Oaks. Mr. Buckley reduced the following: grass cuttings per mow will be $430.00 as compared to $460.00 for 25 mowings, 3 turf fertilization control treatments at $200.00 each and bush hogging for the retention areas will be 5 applications at $300.00 each. The Board reviewed the quote and voted unanimously to accept B& B Lawn Care to do the work in 2002.

There being no further business, a motion was made to have the meeting adjourned at 8:35 p.m. Motion carried.
