ASSOCIATION MEETING - DECEMBER 22, 1999 CALL TO ORDER The meeting was called to order by new Board President John Poland at 7:00 p.m. ATTENDANCE Board Members present were: John Poland, Andy Kemppainen Scott Puckett, and Michelle Jantzen. Dave Lenert was absent due to resignation from the Board. Property Manager Terry Baute was present representing Towne Properties. APPROVAL OF MEETING MINUTES Michelle Jantzen made a motion to approve the October 27, 1999 meeting minutes. John Poland seconded the motion. Motion carried. OLD BUSINESS Open Board Position John Poland informed the Board of the resignation of Dave Lenert. This leaves an open position on the Board. Attempts have been made to contact two of the nominees from the previous election, Mark Piron and Jessica Bell. Mark declined the position and Jessica has not responded. John explained the new Board position and opened up nominations from the floor. Pat Mitre, Michelle Yerkeson, and Mark Pyles were nominated if they were interested in the open position. The Board will contact and meet with those interested in the open position. NEW BUSINESS Treasurers Report Andy Kemppainen reviewed the noted delinquencies and explained the bills that have been paid. Managers Report Management explained Emaculawn Lawn Services bid for 2000. Question from the Floor: What if the contractor does not complete the number of mowings on the bid due to weather related issues? Answer: They only get paid for the service they provide. Question from the Floor: Have there been any large expenditures that are way out of line? Answer: There was one $700.00 legal fee, however management after review with the attorney had the bill reduced to $200.00. Question from the Floor: Who does the snow removal? Answer: John Poland explained the difference between the dedicated street and non-dedicated streets. Deerfield Township is responsible for the snow removal for the dedicated streets. The developer is responsible for all non-dedicated streets. Question from the Floor: Who does the repaving of the streets? Answer: Deerfield Township is also responsible for the repaving which is on a planned and as needed basis. The developer is responsible for non-dedicated streets. By-Laws John Poland reviewed the new By-Laws for Chestnut Oaks and had several copies to hand out at the meeting to homeowners. Any questions or suggestions regarding the By-Laws should be directed to Towne Properties, Terry Baute at 489-4059. The By-Laws will be discussed and voted on at the March 23, 2000 meeting scheduled for 7:00 p.m. Christmas Light Contest Two $25.00 gift certificates will be awarded one for best use of lights, design and another for most kilowatts. John asked for a committee to be formed to judge the contest. Janet Quatkemeyer, Linda Greiwe, and Michelle Aldred volunteered. Judging will be done on the weekend of December 18th. Election/Nominees Committee John opened the floor for nominations for an Elections/Nominees Committee. Anyone interested in participating should contact a Board Member or call Towne Properties. Newsletter Committee John opened the floor for volunteers for the newsletter committee. Mark Pyles volunteered. Mark has his own company that specializes in this type of printing. Prepaid/Delinquencies Mr. Mitre stated that he paid the assessment fee twice ($200.00). He was advised that he would receive a $100.00 refund. Management noted that Mr. Mitre had been advised that he would receive a refund. John mentioned that there are twenty-two homes that are delinquent on there assessment. John asked if he could receive copies of the delinquent letters that are sent out. ADJOURNMENT John made a motion for adjournment, Andy seconded the motion. All were in favor, and the motion carried. Meeting was adjourned at 7:35 p.m.
